Terms and Conditions and Privacy Policy
Reservation and Confirming Booking
To confirm the booking the Owner asks for the Client to make arrangements to pay a non refundable deposit of 20% of the total amount of your holiday at time of booking. Following receipt of the booking form and deposit, the Owners will return a confirmation letter and balance statement. The remaining balance will be due 6 weeks before your arrival date and once paid it is non-refundable. Failure to ensure that such payment reaches us by this date may result in the cancellation of the holiday. If a booking is made less than 6 weeks before your arrival date the full amount will be due when booking your holiday. Once the Owners confirm the booking, this constitutes a legally binding contract between us and the person booking. No reservation will be made until the completed booking form and deposit has been received. For direct bookings we accept direct bank transfer as deposit/payment.
The number of persons in the gîtes is not to exceed the maximum number stated on any booking form. If the number of people in the accommodation exceeds the maximum specified number, the owner can refuse to accept the extra guests. We do limit visitors to the gîtes and the grounds to ensure peace and security for other guests. If you would like a visitor, you must speak with us first to get permission. L'arbre Magnolia sleeps six, La Maison de Rebeyrat sleeps five.
There must be a responsible adult over the age of 21 in every accommodation unit to provide adequate supervision for the party and each member of it.
Security Deposit
A separate security deposit of £300.00/300.00€ is required when booking, to cover minor damage/losses to/from the property or its contents. It is to be paid with the remainder of the balance. We reserve the right to deduct from the deposit the cost of any damage to the property or its fittings and equipment, although the Client’s liability is not limited to this amount. The Owners will claim from the Client for any loss of future business as a result of damage resulting from your stay here, by you or your guests/visitors, howsoever this is caused. The Owners will account to the Client for the security deposit and will refund the security deposit within two weeks of day of departure, subject to a satisfactory inspection of the property.
Cancellations, Refunds and Insurances
It is recommended that you take out insurance to protect the risk of cancellation from the time of booking and for medical, baggage cover etc. whilst abroad. We cannot be responsible for any failure on your part to make the necessary travel arrangements, nor delays or cancellations. It is your responsibility to take out any insurance that you may require against such eventualities.
In the event you have to cancel once the full balance of your holiday has been paid we will make every effort to re-book the accommodation. If we are successful in re-booking the property, in which case we will refund any payment to the level of the subsequent booking, less the deposit. If we are unsuccessful at re-booking the accommodation then no refund will be made. Cancellation must be made to us in writing.
If a Client departs early, he is not entitled to any refund whatsoever and the Owner retains the full amount paid for the rental.
Arrival and Departure times
The Owner will be there to greet you when you arrive to hand over your keys. In July and August the rental period shall be Saturday to Saturday and commence at 4.00pm on the first day and finish at 10.00am on your departure day in order to give enough time between Clients to ensure that the property is ready. The Owner will not be obliged to offer the accommodation before the time stated and the Client will not be entitled to remain in occupation after the time stated. You will be liable for any losses incurred as a result of delayed departure and will be charged £50,00/50 euros per hour delay in leaving the gîtes. During the rest of the year, minimum stay is for 3 nights. Gîtes must be cleaned before departure. Although a final cleaning is included in the rental price, the Owners reserve the right to take a retention from the security deposit to cover cleaning costs if the Client leaves it in an unacceptable condition. If you do not wish to clean it yourself, please inform the Owner in advance. A cleaning charge of 60€ is payable directly to the Owner.
The Client and their party agree to be considerate tenants and take good care of the property and its contents.
Rental Price Included
All your bed linen, hand and bath towels (not pool towels) tea towels, electricity, gas and water are included in your rental. Unfortunately we don’t allow the use of portable air-conditioning units, portable electric heaters or electric vehicle charging inside the gîtes.
No Smoking
The Owners operate a no smoking policy inside the property for the comfort of future guests and to satisfy fire regulations. The grounds, the terraces and swimming pool area are all non-smoking areas. Any Client disregarding this condition will forfeit their security deposit.
Fosse septique system
IMPORTANT: Rebeyrat Gites operates on a fosse septique. Do not flush any products other than toilet paper down the toilets. No sanitary products, hand wipes, nappies, contraceptive products, cotton wool balls/pads, paper towels are to be flushed down the toilets. A fosse septique is designed to filter and take water from toilets, sinks, baths and showers along with human waste and toilet tissue. Everything else should be put in the bin that is provided.
Security
During your stay you are responsible for the keys to the gîte and therefore you are responsible for ensuring all doors and windows are closed and locked when you are not in residence. We do not accept any responsibility for damage or loss to your possessions or property during your stay.
Damage and Breakages
The Client shall report to the Owner, without delay, any defects or breakages in the gîte or breakdown in any equipment or appliances in the gîte or garden. Arrangement for repairs or to rectify and/or replacements will be made as soon as possible.
Pets
Pets are not permitted in the property.
Electric Vehicles
We do not allow or currently have provision for the charging of electric vehicles at the gîtes
Our Liability
We shall not be liable for any death or injury or for damage to or loss to your personal property occurring whilst you rent a gîte at Rebeyrat Gîtes
Please ensure all your valuables are covered under your household insurance. Your vehicles and contents are left at your own risk.
We reserve the right to cancel any booking already made should the gîte facilities become unavailable due to unforeseen circumstances or for reasons beyond our reasonable control (but not limited) to storm damage for instance, fire, flood, exceptional weather conditions, loss of electricity/internet connection, disease outbreaks, industrial disputes etc). In the unlikely event that we have to cancel your stay then we will do the following:
Attempt to make alternative arrangements for you in similar accommodation near-by. In this case you will be refunded in full.
Attempt to arrange an alternative date for your stay.
If no alternative can be made, a full refund of payments including deposit will be made to the Client in these circumstances but we the Owners are under no further liability. We shall not be liable for any resulting costs, losses or damages suffered by you
While you are staying at the we may need to enter the accommodation at any reasonable time (eg for safety reasons or essential immediate maintenance). We will try to let you know if we need to do this.
You use our grounds and facilities at your own risk. You should expect to encounter some potential minor hazards such as uneven ground, mud, etc. We expect you to exercise caution around the swimming pool and any children using the swimming pool or grounds must be accompanied by an adult. It is the Client’s responsibility to ensure that all children are supervised, particularly in and around the terrace/balcony area and stairways. We cannot be held responsible for any injury to the Client or any members of your party.
GDPR & Privacy Policy
The European regulation No. 2016/679 of 27 April 2016, or General Data Protection Regulation (GDPR), came into force on 25 May 2018. Basically, this replaces the Data Protection Act. This is a European wide law and as such affects how we use and store information we receive from guests and enquirers. It covers all data, whether electronic or paper based.
Rebeyrat Gîtes are committed to protecting your personal information when you are using our services. We want our services to be safe and enjoyable environments for our audience. This Privacy Policy relates to our use of any personal information you provide to us online, via phone, by email, in letters or correspondence. In order to provide you with the full range of Rebeyrat Gîtes services we sometimes need to collect information about you.
What information will Rebeyrat Gîtes collect about me?
When you make a booking with us, we collect the names of all the guests who will be staying, the home address, email address and telephone number of the person making the booking.
How will Rebeyrat Gîtes use the information they collect about me?
We use your email to communicate with you, to send you booking confirmation and answer any queries you email us, and to thank you after your visit and ask you for a review. We will also add details of how you can keep in touch with us on social media, should you wish to do this. We use your email to provide you with information about our services, activities or online content We use Facebook to market our gites and our own website. We never pass your details to any third party.
We will not use your telephone number unless we need to contact you urgently or if we cannot reach you by email.
Will Rebeyrat Gîtes share my personal information with anyone else?
Legally, we ask non-French guests to complete the French Fiche Identite Individuelle police form, which we have to legally keep for 6 months from date of arrival. Only the local police can ask for the details on this form. This form and the information contained on it are then destroyed by us.
We are also required by law to keep financial records for 7 years, so guests cannot ask to be erased from these financial records.
If you book to stay direct with us and complete a booking form, then be assured that your details are kept secure on our system via password controlled entry and are not used for any other purpose or shared with any other person or business. We need your email address to send through booking forms, answer any queries you have regarding the property or to send you terms & conditions, booking confirmation etc. We will send you a follow up email after your stay to thank you for staying, asking you to leave a review or feedback and details of how to stay in contact with us. We don’t need explicit consent for this.
Similarly, if you choose to follow us on social media (eg Facebook), we don’t need consent as you have already accepted the terms & conditions on that platform. Again, we will not ask you for your email address in order to send you newsletters etc.
Can I find out what personal information Rebeyrat Gîtes holds about me?
Under the Data Protection Act you have the right to request a copy of the personal information that Rebeyrat Gîtes holds about you and to have any inaccuracies corrected. We will use reasonable efforts to supply, correct or delete personal information about you on our files. Notification of Data Breaches
The GDPR will require us to notify the Information Commissioner’s’ Office within 72 hours of first having become aware of the breach where that breach is likely to “result in a risk for the rights and freedoms of individuals”.
